The short version
- We sell lawn care software. We don’t sell data.
- Your customer list is yours. We don’t market to your customers.
- There are no advertising trackers in the app.
- We don’t train AI models on your data or your customers’ data.
- You can export your data. You can ask us to delete it.
Introduction
Run My Lawn Biz makes scheduling, customer management, and invoicing software for small lawn care businesses. This policy covers our website, the app, and the invoice pages we host for you.
It also covers two different groups of people. There is you, the owner running the business. And there are your customers, whose names and addresses you enter into the software. Those two are not handled the same way, so they are kept separate below.
Information we collect
From you
- Your name and email address when you create an account. Sign-in is handled by a dedicated identity provider, so we never see or store your password.
- Your business profile. Business name, address, phone, email, logo, and license number. These print on the invoices and estimates you send.
- The work you record. Customers, properties, jobs, schedules, crews, estimates, invoices, and payments.
- How many lawns you serviced in a billing period, because that is what your bill is based on. Card details go to a payment processor rather than to us. The app itself moves no money.
- Basic technical data. IP address, browser and device type, and pages visited. When something breaks we get a diagnostic report about the failure.
- Cookies that keep you signed in. They are required, and the app will not work without them. This marketing site also uses Google Analytics to count visits and see which pages do their job, with advertising features turned off. You can stop it any time using the Your privacy choices link at the bottom of any page. Opting out takes effect right away, clears the analytics cookies already on that device, and is remembered on that device and browser.
- Your email address if you joined the early-access list, along with the page you signed up from.
About your customers
You enter their names, addresses, phone numbers, and email addresses. You may also record gate codes, pet notes, access instructions, job history, invoices, and payments.
We hold that information for you. You decide what happens to it, not us. We use it to run the service you are paying for and for nothing else. In legal terms, you are the controller of that data and we are your processor.
How we use it
- Running the service and keeping it available.
- Signing you in and keeping your account secure.
- Building the estimates, invoices, and receipts you send.
- Calculating your bill and collecting payment for it.
- Answering your questions and providing support.
- Finding and fixing bugs, and preventing fraud and abuse.
- Meeting tax and accounting obligations.
- Sending you service messages, plus product news you can unsubscribe from at any time.
Invoices and messages
When you send an invoice or an estimate, the app writes the message and hands it to the text or email app on your own phone. It goes out from your number or your address. We do not send it and we do not see it. We hold no mailing list of your customers and we have no way to contact them.
The message carries a link to an invoice page we host for you. That page shows your business name, logo, and contact details, the work performed, and the balance. It leaves your customer’s phone number and email address off. It takes no payment and collects nothing from whoever opens it.
The link contains a long random code so the address cannot be guessed. Anyone holding the link can open the page, so treat it like a paper invoice you handed to someone.
What we don’t do
- We don’t sell personal information. Not yours, not your customers’. Not to data brokers, advertisers, or anyone else.
- We don’t share one business’s data with another. Every account is isolated from every other account.
- We don’t contact your customers on our own behalf. No marketing, no newsletters, no surveys.
- We don’t run advertising trackers or cross-site tracking in the app.
- We don’t use your data, or your customers’ data, to train AI models.
- We don’t sell aggregated or anonymized data either. We look at totals to decide what to build next. We do not package them up for anyone.
Under California law and similar state laws, we do not sell or share personal information, and we have not done so.
Data sharing
We use a small number of vendors to run the service. They cover things like hosting, sign-in, payment processing, and error monitoring. Each one is under contract to use data only to provide its service to us, and none may use it for their own purposes. If you need specifics for a security review, email us and we will go through it with you.
Beyond that, we share information only when you tell us to, when the law requires it through a valid legal order, or when it is necessary to protect someone’s safety.
If the business is ever sold or merged, your data moves with it. This policy keeps applying until it is replaced, and we will tell account holders before any new policy takes effect.
Data security
Each business’s data is isolated at the database layer. That separation is enforced by the database itself rather than by application code, so a bug in one screen cannot expose another business’s customer list.
We store no passwords. Data is encrypted in transit and at rest. Access to production data is limited to what is needed to run and support the service. Everything runs in the United States.
No system is completely secure. If there is ever a breach affecting your information, we will tell you what we know and meet the notification deadlines the law sets.
Data retention
We keep your data while your account is open. The history is most of what makes the software useful.
If you close your account, export what you want first. We delete or anonymize your data within 30 days of a confirmed request. Records we are required to keep for tax and accounting, such as invoices and payments, are the exception. Backups roll off within 90 days.
Your rights
You can see what we hold about you, correct it, export it, or ask us to delete it. You can unsubscribe from anything that is not a service message. You can opt out of analytics from any page using the Your privacy choices link in the footer. You can delete individual records, including a customer’s information, yourself in the app. Depending on where you live you may have further rights, and we apply the same handling to everyone either way.
Email us from the address on your account and we will respond within 30 days.
If one of your customers contacts us directly, we will point them to you and let you know. We have no way to verify who they are, and their information is yours to manage.
Children’s privacy
This is business software, meant for adults. It is not directed to anyone under 18, and we do not knowingly collect their information. If you think a child’s information has ended up here, tell us and we will delete it.
Changes to this policy
When this policy changes, the date at the top changes with it. If a change affects what we actually do with your information, we will email account holders before it takes effect.
