Your crew pulls up to a gated neighborhood, and the code is in a text you sent last spring. They call you. You're on a mower across town. The whole truck sits at the curb until someone finds it. How do you make sure everything your crew needs for a stop is waiting for them before they get there?
Every property should have one place that holds what it takes to do the job: the gate code, the dog, which side gate to use, where the customer wants clippings, anything unusual about the lawn. A good test is whether a new helper could do the stop from that record alone. If not, something is missing.
This matters more as you grow. When it's just you, your memory works fine. The first time you send out a second truck, or a helper covers for you on a sick day, everything in your head is out of reach.
The gate code is in a text you sent last spring, and your whole crew is waiting at the curb. Your notes need a home!
Codes change. Customers get a new dog. HOAs rekey the front gate. When a customer texts you a change, update the property record right then, not later tonight. Ask your crew to tell you what they notice on site, like a new fence or a broken sprinkler head, so that goes in the record too.
Notes that are six months stale are almost as bad as no notes.
You don't need to start from scratch. Most owners already have a spreadsheet, a phone full of contacts, or a notebook. Pull it into one list with one entry per property, then fill in the gaps as you work the route this week. A binder in the truck, a shared spreadsheet, or a business app all work, as long as there's one place everybody checks.
Run My Lawn Biz keeps the customer, address, gate code, and property notes together on one record, and your quotes, schedule, and invoices all use that same record. You can bring your existing list over from a CSV file, a paste from your spreadsheet, or your phone contacts completely self-serve. They're stored securely in our server where only your crew can see them.
Your crew can't use what only lives in your head. Give them the information they need to keep your business running.
